PROJECT ASSISTANT

BIOFerm™ Energy Systems Inc. is looking for a Project Assistant to provide administrative, logistic, and financial tracking support to the project management team. The position is based out of our office in Madison, WI.

Essential Job Functions

  • Assist Project Manager and engineering team throughout the design, planning and construction phase of a project

  • Track project financials including invoice processing and payment requests

  • Prepare, process, and track:

    • Various communications documents

    • Contact/phone lists

    • Monthly project reports

    • Change orders

    • Requests for information

    • Operation manuals

    • Other project related documents

    • Meeting minutes

    • Action item lists

    • Purchase orders

    • Payment requests

    • Filing and archiving of project documents – both paper and electronic

    • Expediting and coordinating information submitted or required by trades and suppliers

  • Identify, address and resolve project administration issues and problems as or before they occur

  • Meeting arrangements and preparations – invitations, follow-up of attendees, facility arrangements

  • Provide link between project management team and accounting department to issue and collect payments

  • Assist with additional administrative tasks as needed, including mailing, faxing, and expense reports

Competencies & Qualifications:

  • Bachelor or Associate’s degree in technical discipline, such as civil engineering or project management, or sufficient experience as a project assistant in a construction field

  • Experience in a construction field is desired

  • Familiarity with construction and engineering (civil, mechanical and electrical) terminology and processes

  • Excellent computer skills in Microsoft Office Word, Excel and Power Point including the ability to learn new software as required

  • Experience with MS Project is a plus

  • Systematic approach to ensure timely completion of all tasks

  • Ability to readily convert objectives into activities and deliverables

  • Excellent verbal communication and writing skills

  • Attention to detail

  • Excellent organizational skills

  • Valid US driver’s license

  • Willingness to travel and valid US passport required

  • Must be authorized to work for any company in the United States. Must not require sponsorship, or continued sponsorship to work for any company in the United States
